Receptionist
The Tulsa Receptionist is responsible for providing front desk support services to the Tulsa office, liaise and maintain strong, effective communications with internal and external individuals and various organizations. The role requires exceptional communication and customer service skills in a fast-paced and high-energy environment.
JOB FUNCTIONS AND KEY RESPONSIBILITIES:
- Meet and greet visitors, vendors and guests as they arrive in a professional manner.
- Answer, screen and forward incoming calls.
- Respond to general inquiries and forward them to the appropriate department when necessary.
- Responsible for providing office administration including maintaining and coordinating meetings and conferences.
- Coordinate catered lunches for large meetings and trainings.
- Manage space plans and overall office management responsibilities as needed.
- Order break room and offices supplies as needed, and ensure areas are properly stocked.
- Prepare space for new hires and assist with the onboarding process as needed.
- Manage office badges in coordination with Corporate Security and building management.
- Process parking applications.
- Process Workplace Services invoices.
- Assist Supervisor and Workplace Services Director with administrative and project support duties for office and other corporate offices as needed.
- Other duties and responsibilities as assigned.
MINIMUM ESSENTIAL QUALIFICATIONS:
- Three to five years of reception and office support services.
- High school diploma or equivalent required, bachelor’s degree preferred.
- Excellent written and verbal communication skills.
- Experience processing invoices (preferred experience in Oracle Financial Cloud).
- Strong interpersonal skills with the ability to work harmoniously in a team setting.
- Ability to prioritize daily work schedule and function with minimum supervision.
- Strong attention to detail and organizational skills with the ability to multi-task and prioritize work.
- Ability to adapt to changes in the work environment, manage competing demands, and able to deal with frequent changes, delays, or unexpected events.
- Must be able to work on confidential and sensitive tasks and projects and always maintain high confidentiality.
- Proficient in Microsoft Office.
- Ability to work overtime and adjust work schedule with minimum notice.
- Able to lift 25 pounds to move files and retrieve information.
- Regular and reliable attendance.
